Nursing Week Work Group

Terms of Reference

Purpose

To plan and organize an annual nursing week program for The Ottawa Hospital in order to recognize nurses and make nursing's contribution visible to internal and external audiences.

Objectives

  1. To acknowledge nursing's contribution at The Ottawa Hospital.
  2. To increase the visibility of the accomplishment of nurses in the four domains of practice, clinical, education, research and management.
  3. To highlight a certain theme in collaboration with outside nursing organizations.

Membership

  1. RN and RPN volunteers
  2. ONA representatives from the three campuses of The Ottawa Hospital, Heart Institute and Rehabilitation Centre
  3. Nursing Management representative on the three campuses of The Ottawa Hospital, Heart Institute and Rehabilitation Centre
  4. ONA Local Coordinator
  5. Chief of Nursing
  6. Vice President, Nursing (ex officio)
  7. Individuals can be invited to meet specific objectives of the group and sub-groups can be organized.
  8. The meetings will be co-chaired by the Chief of Nursing and the Secretary of ONA and the Work Group will select the Secretary.

Responsibilities of Members

  1. Participate at meetings and work with other members to plan the program.
  2. Select the theme for the week. 
  3. Organize specific events with other colleagues, report on follow-up, and send thank-you letters to participants in these events.
  4. Contribute to the agenda.
  5. Evaluate annually the effectiveness and efficiency of the program.

Responsibilities of the Co-Chairs

  1. Provide leadership and direction in meeting objectives and facilitate participation at the meeting.
  2. Set the agenda with Secretary following open invitation for all to submit items.
  3. Ensure follow-up from meetings is carried out.
  4. Guide the sub-groups in their work, as needed.
  5. Ensure reports are submitted to the appropriate people within the appropriate time frame.

Responsibilities of the Secretary

  1. Prepare and distribute agenda, minutes and related documentation to committee members prior to meetings.
  2. Set the agenda with the Co-chairs following open invitation for all to submit items.
  3. Maintain the approved minutes in a binder as well as relevant documentation.

Meetings

Meetings are to be held 10 times a year. Length of meetings will be two hours.

Reporting

The Nurses Week Work Group reports respectively to ONA executive and to the Nursing Professional Practice Committee.

Quorum

A majority of members (50% + 1) shall constitute a quorum.
